How Prometheus turned years of Excel-based estimating knowledge into a centralized, standardized preconstruction system with Zebel
The spreadsheets worked. The knowledge was fragmented.
Prometheus had already built sophisticated Excel templates that reflected years of estimating experience, historical pricing, assumptions, formulas, and project knowledge. The company was not trying to replace a broken process, it wanted to make an established one easier to scale.
As the portfolio grew, valuable information remained distributed across individual estimates. Comparing projects could mean opening multiple files, locating historical pricing, and relying on experienced team members who knew where the right information lived1.
The challenge wasn't creating estimates in Excel. It was making years of estimating knowledge easier to find, compare, and reuse.
From spreadsheets to a reusable knowledge system
Prometheus preserved the estimating logic that already worked while reducing the friction around finding and comparing historical information.

Centralizing historical information does not replace senior expertise. It changes where that expertise adds the most value, from finding information to interpreting it8 9.

Each completed project can add another layer of reusable estimating knowledge. Instead of allowing experience to remain trapped in individual files, a centralized system makes project history available for future decisions7 5.
The next project adds new knowledge to the cycle.
Why standardization matters
Cost analysis and benchmarking guidance emphasizes putting construction cost information on a comparable basis so historical project data can meaningfully inform cost planning and design development4.
A historical price without context is just a number. A historical price connected to a relevant project provides evidence.
Why this matters before design is complete
Conceptual estimating happens while project variables are still evolving. Leadership may be evaluating feasibility, preliminary budgets, alternative concepts, historical comparisons, or whether an opportunity should continue into development3.
Faster access to relevant historical information allows the estimating team to spend less time searching for context and more time evaluating the decision itself.
The value isn't simply finding historical information faster. It's getting organizational knowledge into the decision sooner.
A practical preconstruction knowledge check
- Can we quickly find relevant past projects?
- Is historical pricing available from a central source?
- Is project data structured consistently enough to compare?
- Can junior team members access historical information without relying on tribal knowledge?
- Does each completed project strengthen our historical database?
- Does our technology fit the way our estimators actually work?
If several answers are no, the organization may not have a shortage of estimating knowledge. It may have a problem making that knowledge reusable.
From Excel to excellence in Precon
Prometheus did not need to abandon Excel's estimating logic. It needed a way to make that accumulated knowledge more centralized, standardized, comparable, and accessible. Prometheus's existing Excel templates provided the foundation. Zebel helped turn that foundation into an estimating environment built around the company's actual workflow.
